What it is

An Occupational Health referral is an impartial assessment that focuses on functional impact at work and the practical steps that support attendance and performance. Appointments can be by telephone, video, or face-to-face.

When to refer

  • Return-to-work planning or phased returns
  • Advice on reasonable adjustments
  • Support for managers making fair, consistent decisions

How it works

  1. Manager submits a referral with clear questions and relevant documents.
  2. Employee receives an explanation of the process and provides consent.
  3. Appointment is booked (telephone/video/face-to-face).
  4. Assessment is completed and recommendations are agreed for reporting.
  5. Report is issued with clear actions and suggested review points.

FAQs

What questions should a manager ask in a referral?

Keep questions practical and job-focused, for example: what adjustments would help, whether a phased return is appropriate, likely timescales for improvement, whether duties should be restricted, and when a review would be helpful. Avoid asking for detailed diagnoses unless there’s a specific, job-related reason.

How quickly will we receive the report?

Timing depends on appointment availability and whether we need additional information, but most reports are completed soon after the assessment. If you have a time-critical case, flag it and we’ll prioritise where possible.

What if the employee does not consent?

Occupational Health reporting requires consent. If consent isn’t provided, we can confirm non-attendance/non-consent and advise on next steps from an HR process perspective (for example, managing on the information you already have).

Will you share medical details with managers?

No. Reports focus on functional impact and practical workplace recommendations. Medical details are only shared if the employee explicitly consents.
