Management Referrals

Referral of staff to the Occupational Health Service can provide you with the clear and objective advice to enable you to manage health related absence effectively.

You can refer your employees to our service as and when required or you can set up a contract with us to attend your site on a weekly or monthly basis depending on your requirements.

A qualified occupational health professional can complete either a telephone or face to face assessment on individuals who have long term or short-term sickness absence that may or may not be affected by work. 

We will provide advice on fitness to work, capability and we will try to give a long-term prognosis where appropriate.

We can provide telephone, video or face to face consultations. 

You can complete the referral via a secure database called Apollo. Following the consultation the report can be accessed by you and the employee via the portal within 48 hours of the appointment.

Occasionally an employee may require referring to an Occupational Health Doctor and this is something we can arrange.


Health Surveillance

What is health surveillance?

Health surveillance is a system of ongoing health checks. These health checks may be required by law for employees who are exposed to:

  • Noise 

  • Vibration

  • Ionising radiation

  • Solvents

  • Fumes

  • Dusts

  • Biological agents

  • Substances hazardous to health

  • Work in compressed air.

Health surveillance is important for:

  • Detecting ill-health effects at an early stage, so employers can introduce better controls to prevent them getting worse

  • Providing data to help employers evaluate health risks

  • Enabling employees to raise concerns about how work affects their health

  • Highlighting lapses in workplace control measures, therefore providing invaluable feedback to the risk assessment 

  • Providing an opportunity to reinforce training and education of employees (e.g. on the impact of health effects and the use of protective equipment)

  • Your risk assessment should be used to identify any need for health surveillance.  You should not use health surveillance as a substitute for undertaking a risk assessment or using effective controls.  

Health surveillance can sometimes be used to help identify where more needs to be done to control risks and where early signs of work-related ill health are detected, employers should take action to prevent further harm and protect employees. 

We can provide onsite health surveillance at your request following a discussion of your requirements. We will aim to provide your results and reports within three working days.

Driver Medicals

We can deliver Fork lift truck driver medicals and driver medicals on site or at a clinic near you.

Driver medicals are based on the latest DVLA Medical Standards of Fitness to Drive guidelines.

FLT medicals are carried out based on the medical standards set out in Safety in working with Lift Trucks, HSE HS (G) 6.


New Joiner Medical Screening 

New employee health screening evaluates an applicant’s declared health conditions in relation to the hazards, risks, activities and environment of the job to which they are being recruited.

The Equality Act 2010 limits the circumstances in which you can ask health-related questions before an applicant is offered a job.  An offer of employment can be made to be subject to a satisfactory medical assessment.  It is then permissible to ask for relevant health information.  This information needs to be evaluated and a decision made on fitness for the job.  The information can also be incorporated into risk assessments and used to decide if any adjustments may be required to a job.

How does the process work?

A questionnaire will cover medical aspects such as:

  • History of health conditions relevant to employment

  • Current health status and baseline health information

  • Information regarding health conditions that require adjustments or support in the workplace

  • Previous exposure to health hazards

Our questions will take into account specific requirements of the role, such as confined space entry, working at heights, exposure to vibration, manual handling, working with display screen equipment or driving duties, to name a few.

All questionnaires are assessed by Occupational Health advisor who follow strict procedures and evidence-based guidelines.

This is the process: 

  1. Employer will load information about new joiner into secure Occupational Health database called Apollo.

  2. Employee will be sent an electronic link to complete a form via Apollo.

  3. Once reviewed, the report will be sent via email to the employer and copied to the employee.

In rare cases, our advisor may require further information from the individual’s GP or even recommend a referral to one of our Occupational Health Physicians.  We will liaise with you to agree funding for this prior to proceeding.  It is only likely to be required if it appears that: -

  • Their condition would make it unsafe for them to do the job

  • Their condition may make it unsafe for others, including fellow workers and the general community

  • Their condition may be made worse by the job

  • Their condition may limit, reduce or prevent them from doing the job effectively

The final recruitment decision will always lie with the employer: no prospective employee will be rejected or accepted for employment directly by Zen OH
